The Conference Specialist position will be responsible for assisting the conference managers in all pre- and post-planning of association meetings/conferences. The ideal candidate must possess a strong combination of diverse skills.

RESPONSIBILITIES

  • Provides assistance in creating program schedules.
  • Provides hotel/hotel area information for meeting brochures.
  • Works directly with hotels on weekly reports.
  • Sources and contracts, on behalf of clients, with third-party suppliers for various needs, including temporary registration assistance, entertainment, signage, transportation, and dining, etc.
  • Reviews drafts of conference brochures with program schedules, confirming registration hours, session numbering, deadline dates, cancellation policy, and overall setup.
  • Acts as the conference planner for all board and committee meetings for assigned clients. This includes sourcing sites; negotiating contracts; creating meeting specifications, food and beverage and audiovisual orders, housing lists; and reconciling invoices.

QUALIFICATIONS

  • A Bachelor’s degree or the ability to demonstrate equivalent work, practical experience or knowledge is required.
  • A minimum of 3-5 years of experience in meeting/hospitality management is preferred; association experience is a plus.
  • Excellent interpersonal and collaboration skills with a commitment to excellence in professionalism for both internal and external customers, as well as our vendors.
  • Excellent organizational skills with strong project management attributes that involve intricate planning, attention to detail, and follow-up.
  • Progressive thinker with good decision-making skills.
  • Ability to work independently and as a part of a team.
  • Proficient in Microsoft Office products and internet use.
  • Ability to travel approximately 2 times per year.
